How you Get 80 Directors and Policymakers Around the Table

 

Goal

Get 80+ leaders and decision-makers interested in the circular economy from the Netherlands to the conference center in Terneuzen, Zeeuws-Vlaanderen.

Our Advice

We organized the promotion 100% through WarmCO2 to ensure that attention, branding, email addresses, and communication would continue to work after the conference (search engine marketing, follow-up, etc.), rather than handing these off to an event agency. This approach also maximized the available budget's impact.

The Solution

We executed the schedule and plan internally, working closely with WarmCO2 and making the most of existing systems and workflows. This saved a lot of time without sacrificing impact.

Result

A successful conference day with approximately 65 attendees from the target audience, including leaders, directors, and officials from municipalities and provinces. Around 20 attendees came from companies within the WarmCO2 ecosystem, and 10 were from other groups.

Tasks:

  • Create a schedule and plan for PR activities with a target of 100 or more paying C-level attendees
  • Develop the theme, style, branding, and (basic) visual concept, aligned with both TU Delft and WarmCO2
  • Implement a mailing cycle with full content and teasers to stimulate online registrations
  • Promote the event and manage registration on the website warmco.nl, including a promo page and automated registration process
  • Run promotional campaigns on Google, LinkedIn, and Facebook
  • Assist with the technical execution of speaker presentations
